Hey friend,
As much as I love talking about webinars, copy and marketing from a 'high level', you do still need the tools to be able to make these campaigns run.
Most people think the money is made actually on the webinar - but we usually find that 60% of the revenue we make from these campaigns comes from the robust systems we have in place for follow-up, and tracking the customer journey.
In this newsletter, I'm going to give you this system.
Let's go.
The Essential Webinar Tech Stack for 2025
Here’s the truth about webinar tech: You don’t need everything, but what you do need has to work flawlessly.
After generating over £650,000 for my clients, here’s what I’ve found actually matters:
1. The Foundation: GoHighLevel
Features We Use:
Landing Page & Confirmation Page
Webinar CRM
Automations & Workflows
Emails & SMS
How We Use It (Examples):

These pipelines will all have workflows attached to them for marketing and sales purposes.
Automations & Workflows Example
This will include Emails & SMS if our clients don’t use other software.
Alternatives:
ClickFunnels
Hubspot
Tool #2 - WebinarJam
Features We Use:
Webinar Hosting Services
Let me be clear - we've tested every webinar platform out there.
For B2C webinars, especially in the info/coaching space, WebinarJam consistently outperforms everything else.
Here's why:
Embed Button Straight To Register On GHL & ClickFunnels
Chat Moderation (IMPORTANT)
Integrates Via Zapier With GHL & CF
Easy To Make Offers
Backend Data:
Who left before pitch
Who stayed till end
When people dropped off
This is crucial for follow-up campaigns.
PRO TIP: Use their API rather than Zapier when possible. It's more reliable and won't count against your Zap limits.
Tool #2.1 - Zoom Webinars
Best for more sophisticated markets e.g. B2B or higher ticket info / coaching.
Most people use Zoom anyway so you can just bolt this on to your account.
Tool #3 - ConvertKit
Convertkit isn't essential but I use it personally for my newsletter.
You can send emails through GoHighLevel.
DELIVERABILITY
When you're sending thousands of emails trying to get people to show up to your webinar, the last thing you want is them hitting spam, especially with the volume of emails we sent in webinar week.
ConvertKit has the highest deliverability rates we've seen:
Clean IP addresses
Strong sender reputation
Actually lands in primary inbox
Use GoHighLevel for:
Automated sequences (booked calls etc)
SMS messages
Basic notifications
Use ConvertKit for:
Important broadcast emails
Day-of-webinar reminders
High-stakes messages
This way, if one platform has issues, you're not screwed.
You can integrate this directly in WebinarJam & with GHL via API.
Tool #4 - Typeform
Here's the reality with webinars...
When you make your offer, you'll have two types of people:
Ready to buy now (direct payment)
Need to speak first (book a call)
But here's where most people mess up...
They let ANYONE book a call after the webinar.
This is why your sales team ends up on calls with:
Tyre kickers
Time wasters
Broke people
Unqualified leads
Although this is massively mitigated because of the efficiency of webinars, we don’t want people to book up spots, especially for the next day or the day after if they are qualified.
Instead of letting people book straight into your calendar, they hit a Typeform first that asks your qualifying questions.
REAL EXAMPLE: On a recent webinar:
380 attendees
150 tried to book calls
28 qualified & self booked
The other 122 were followed up asap
That's 122 calls that could have been booked with people who weren’t immediately qualified.
Tool #5 - Zapier / Make / Integrately (Zapier Best)
The glue that holds it all together.
You can have the best:
Landing pages
Email sequences
Follow-up system
But if your tech stack isn't talking to each other properly, the campaign will flop.
ESSENTIAL CONNECTIONS:
REGISTRATION FLOW:
WebinarJam → GoHighLevel
GoHighLevel → ConvertKit
Typeform → GoHighLevel
All of these should have tags.
TRACKING & TAGS:
Watched pitch
Left before pitch
No-show (send replay)
Applied but didn't book (follow up)
Booked call (Booked call process)
WHY THIS MATTERS: Your follow-up needs to be different for each of these segments.
REAL EXAMPLE:
When someone registers in webinarjam
Added to GHL pipeline
GHL pipeline triggers automation for emails / sms in Kit or GHL
All automated. All instant. No manual work.
Tool #6 - Claude
Look, let's be real about AI.
We use Claude to help write:
VSLs
Landing pages
Email sequences
Social copy
BUT...
And this is a big but...
We NEVER use AI for the actual webinar script.
WHY?
Because your webinar is where the magic happens. It's where you build real connections, share your story, and make your offer.
That needs to be 100% you.
HERE'S HOW WE USE CLAUDE:
PRE-CAMPAIGN COPY:
First draft of landing pages
Email sequence frameworks
Confirmation page copy
Ad copy and captions
Then our team reviews EVERYTHING.
We're not letting AI run wild with your marketing.
Think of Claude as a really smart first-draft writer. It gives us a foundation to build on.
WHAT WE DON'T USE IT FOR:
Webinar scripts (NEVER)
Final copy (always human-edited)
Strategic decisions
Core messaging
PRO TIP: Use Claude for the heavy lifting and repetitive stuff. Save your creative energy for what matters - your actual presentation.
Remember: AI is a tool, not a replacement. Your webinar needs your voice, your energy, and your authentic self.
The last thing you want is to sound like a robot when you're trying to build trust with hundreds of people.
Conclusion:
This stack will allow you and your team to follow up and set up your campaigns effectively so you maximise every lead that you get from the campaign.
To your success,
Charlie McCormack
